If a new ‘Scheduled Report’ is needed, the user has two options;either to create a ‘New’ report or use the ‘Duplicate Scheduled Report’ feature to use an existing report as a starting point. |
Once the report has been selected (highlighted), enter a descriptive name to reflect its function in the ‘Name Report’ field and a name for the ‘Example File’ of not more than 8 characters. Click the ‘OK’ button to place the new report in the ‘Scheduled Reports’ pane. As with any of the standard report profiles available, any one or combination of criteria can be applied to the report or reports. |
The check-box in the top left-hand corner of the pane allows you to 'Enable' (i.e. run the 'Report' as a 'Task') or 'Disable' the 'Report' without having to 'Delete' (remove) the 'Scheduled Report'. By default, the new 'Report' will be set to 'Enabled'. |
If the 'Report' has been 'Disabled', an icon will appear against the 'Report' in the left-hand pane to show the 'Report' is 'Disabled'. |
The first configuration setting, which must be set is the ‘First report to be run on’ (start date) field. |
The ‘Until’ field is used to set the end date for the reporting period. |
The next configuration step is to set the run report frequency in the ‘Run Every’ pane. If the ‘Days’ radio button is selected, the default setting is ‘1’ day. To change this setting, enter the interval in the field. For example entering ‘2’ in the field would result in the report being run every other day. |
‘Scheduled Reports’ do not have to be printed, but could, instead, be saved and printed later. The main advantage of printing the reports(s) automatically overnight is to avoid tying-up a printer during potentially busy daytime periods running long reports. |
To ‘E-mail’ a report to a recipient or recipients, simply enter the name(s) in the ‘To:’ ‘CC:’ or ‘BCC:’ fields and select the ‘Format’ for the report. The most useful format is ‘PDF’, which only requires Adobe Acrobat Reader to view the report. ‘CSV’ would only be applicable if the recipient wishes to import the call data into a spreadsheet. The ‘QRP’ format is only used if the recipient is running a ‘Client’ install of report 09. The ‘Lookup’ button enables you to select ‘E-mail’ addresses from within ‘Outlook’. The ‘Clear’ button removes all the ‘E-mail’ addresses from the fields. If you wish to know when the ‘E-mailed’ reports have been viewed by the recipients, this is achieved by ticking the ‘Read Notification’ check-box. |
When all the ‘Scheduling’ settings have been made, you must click the ‘Save’ button to ensure the settings are correctly applied. |

If a ‘New’ report is being created, a ‘New Report’ window opens listing all the default report templates available within report X. The user selects the most appropriate template for the list available covering:
Prior to setting any ‘Criteria’ you should configure the Schedule ‘Options’ and ‘Run For’ settings.
If the 'Report' has been 'Disabled', an icon will appear against the 'Report' in the left-hand pane to show the 'Report' is 'Disabled'.

Clicking the down-arrow on the right of the field invokes a drop ‘Calendar’ which is used to set the start date.

‘Required Actions’ enables you to select as many options as are needed to achieve the desired goal. In this example the report is being saved as a ‘PDF’ file, Printed and E-mailed to a selected recipient or recipients.
The right-hand section of fields are entirely devoted to the ‘E-mailing’ of ‘Scheduled Reports’.
Once all the scheduling ‘Options’ have been set, select the 'Reporting Period' from the 'For Date(s)'drop-menu. The available options are:

When all the report settings are complete, we would advise you use the ‘Test Report’ facility to ensure the report settings are correct.
