Report call accounting email configuration


This facility is accessed from the main report X application, not from Comms Suite Setup.  You need to configure the emails settings for things like automatically sending reports via email, or for toll fraud alarm notifications.

File 396To open the 'Database Configuration' window from within report X, select 'Configure Settings' from the 'File' menu...
File 397The last of the 'Configuration' sections relates to the 'Email' settings within report X.
File 398This opens the 'Email' settings window.

File 399The first configuration setting enables you to select your own 'Mail Client' as the sending agent, providing the software is 'MAPI compliant' (e.g. Microsoft Outlook or Eudora).

Note: cc:Mail (Lotus) is not 'MAPI compliant' unless third party add-on software is present.

If your 'Mail Client' is 'MAPI compliant', the 'Direct SMTP Send' section should be left blank.

File 400'Reply Email Address to use' by default will be set as 'AIOffice@mycompany' but this can be changed if needed, to more accurately reflect the actual sender of the 'Report' (i.e. the user).

File 401If your 'Mail Client' is not 'MAPI compliant' or the PC does not have any e-mail software installed, the 'Direct SMTP Send' feature should be configured. The 'SMTP Host' is the name of the server being used as the 'mail server'.  Please consult with the Network Administrator if you do not have details of the 'mail server' name.

Where the mail system requires sender 'authentication' for SMTP, a 'User-id' and 'User-Password' should be entered into the appropriate fields. If you are in any doubt, you should consult with the Network Administrator.

The 'Authentication' field would normally be set to 'None'.

File 402If the mail server requires 'SMTP Authentication' then the 'Default' setting should be used. If you are in any doubt, you should consult with the Network Administrator.
File 403When these configuration settings are complete, we strongly advise  to check the settings by sending a test e-mail. Click the 'Test' button...
File 404... to open a dialogue window where you can enter a valid e-mail address to which the test message will be sent. When the 'OK' button is clicked the test message is sent.
File 405If all the settings have been successfully configured the recipient will receive a 'Success' notification. If you are presented with a failure message, this indicates that the settings are wrong. If you are in any doubt, you should consult with the Network Administrator.

File 406'Enable Recipient Notification' enables you to ensure emailed 'Reports' have reached the intended recipient.

If you are using 'Direct SMTP Send' there will be no record of any emailed 'Reports' being sent, and therefore Oak have provided a 'BCC' (Blind Carbon Copy) facility, which sends a copy of the email to the'Reply to address' (i.e. the sender).

When all the 'Email Configuration' settings are complete, click the 'OK' button to close the window. Clicking 'OK' in the main 'Database Configuration' will save all the 'Configuration' settings made and close the window.

Advanced Scheduling

File 407Advanced Scheduling enables you to 'Schedule' reports to run automatically more than once a day.

Once 'Advance Scheduling' has been enabled, you need to configure the reports that need to be run automatically multiple times daily.
